Workflow

Every promise,tracked to done.

The commitments you make in passing — in email, in Slack, mid-conversation — become open loops AIVA holds for you, and reminds you about before they go stale. Nothing you said you’d do quietly disappears.

Say it once“Remind me — I told Alex I’d send the draft Friday.”

The problem

You say “I’ll get that to you” a dozen times a week.

Across email, Slack, and hallway conversations, you make small commitments constantly — and most never make it onto a list. The ones that slip aren’t the big projects; they’re the “I’ll send you that link” promises that quietly erode trust when they’re forgotten.

How it works

Set it up once. It just keeps happening.

01

Make the promise normally

Tell AIVA, or let it notice in an email or a Slack thread — “Tell Sam I’ll get back to her by Wednesday.” No special syntax, no separate to-do app.

02

AIVA opens a loop

It captures who, what, and by when as an open loop in your Tasks — and remembers the surrounding context so the reminder is specific, not vague.

03

It reminds you in time

Before the deadline, AIVA surfaces the loop — “You told Sam you’d reply by Wednesday; it’s Tuesday afternoon” — with enough lead time to actually act.

04

Close it when it’s done

Deliver it (AIVA can draft the message), and the loop closes. Anything still open stays visible so it never silently disappears.

What AIVA does

The work, handled.

Catch commitments anywhere

Promises made in conversation with AIVA, buried in an email you sent, or dropped in a Slack thread all become tracked loops.

Remember the full context

Not just “follow up with Sam” — AIVA keeps what you promised, why, and by when, so the reminder is actionable on sight.

Nudge before it’s stale

Reminders arrive with lead time, not at the moment the deadline passes — so you deliver early, not apologetically late.

Track both directions

What you owe others and what others owe you both become loops, so you can chase and deliver from one clear list.

Stay in your Tasks

Open loops live in AIVA’s Tasks app, visible whenever you want them — no separate tool to check, nothing hidden.

What changes

What it’s like once AIVA runs this.

Caught the moment you say it

A promise made in passing — in chat, in an email, mid-conversation — becomes a tracked open loop. No special syntax, no separate to-do app.

  • Commitments captured anywhere
  • Who, what, and by when
  • Nothing relies on memory

Open loops

Draft → Alex · FriReply → Sam · WedInvoice → GlobexSpecs → Priya

Reminded before it’s stale

AIVA surfaces each loop with lead time — “you told Sam you’d reply by Wednesday; it’s Tuesday” — so you deliver early, not apologetically late.

  • Nudges with real lead time
  • Sooner if the thread heats up
  • Both what you owe and what you’re owed

Reminder

Reply to Sam · due Wed

Nudge set for Tue, 2:00 PM

Closed only when it’s done

AIVA can draft the message that delivers on the promise — but it closes the loop only after you actually send. Anything still open stays visible.

  • Drafts the delivery for you
  • Closes only on real completion
  • Open loops never hide

Deliver it?

AIVA drafted the reply to Sam. Send and close the loop?

Set it up by saying

Just say it in plain language.

Remind me I told Alex I’d send the draft by Friday.

Tell Sam I’ll get back to her by Wednesday, and nudge me Tuesday afternoon.

What did I promise anyone this week that I still owe?

Scan my sent mail for commitments I made and open loops for each.

The apps it uses

Built on the tools you already have.

Connected app

AIVA for Gmail

AIVA reads the threads that matter, drafts replies in your voice, tracks the promises buried in your email, and follows up so nothing quietly dies in your inbox. It only sends after you say so.

Connected app

AIVA for Slack

AIVA reads the channels you point it at, summarizes what you missed with full thread context, and posts on your behalf — but only after you approve the exact message.

Core feature

AIVA for Memory

A normal chatbot forgets when you close the tab. AIVA keeps four kinds of memory — durable facts, workflow recipes, live context, and behavior rules — so it knows you, gets faster over time, and never makes you repeat yourself.

Built-in app

AIVA for Loops

Loops are AIVA’s recurring schedules — morning briefs, weekly wrap-ups, periodic checks. Describe them in plain language; AIVA handles the cron, the timezone, and what to do when your Mac was asleep.

Permission model

You stay in control of every consequential action.

Read-only work happens silently. Anything that changes the world waits for your approval — and destructive actions always ask prominently.

Safe — does silently

  • Open, track, and close loops in your Tasks
  • Read email and Slack to spot commitments
  • Remind you before a loop goes stale

Asks first

  • Send a message or reply to deliver on a promise
  • Set up a recurring reminder schedule

Always asks

  • Deleting tracked loops in bulk

Without your approval, AIVA won’t

No surprises.

These never happen on their own. AIVA drafts and asks; you decide.

  • Send a message or reply on your behalf
  • Close a loop you haven’t actually delivered
  • Share what you’ve committed to with anyone else

Local-first notes

Your data, on your machine.

Open loops and the context behind them are stored in AIVA’s data directory on your Mac.

In Local mode, nothing about your commitments leaves the device — AIVA reasons over them on-device with your own model keys.

Pin, correct, or forget any loop or memory on command — you stay in control of what AIVA keeps.

FAQ

Good questions to ask.

Does AIVA read my email to find promises?

Only the accounts you connect, and only when you ask it to sweep or while assembling something you requested. You can keep it to conversation-only if you’d rather it not scan mail.

Where do the reminders show up?

As open loops in AIVA’s Tasks app, and proactively in conversation before the deadline. You set how much lead time you want.

What if I change my mind about a commitment?

Just say so — “drop that loop” or “push it to next week” — and AIVA updates or closes it. Nothing is locked in.

How is this different from Follow-Up Sweep?

Promise Tracker is about commitments and their deadlines. Follow-Up Sweep is about threads that went quiet and need a nudge. Together they make sure nothing you owe — and no thread you care about — slips.

Workflow

Follow-Up Sweep

AIVA watches the threads you care about, notices when one goes quiet, and drafts the nudge before the deal, the intro, or the answer slips through the cracks. You approve; it sends.

Workflow

Daily Context Restore

Every morning, AIVA reads what happened overnight across your email, calendar, Slack, and GitHub, and hands you one short, ranked brief — the few things that actually need you, before you’ve opened a single tab.

Workflow

Meeting Prep

Before any meeting, AIVA assembles a brief — who’s attending, your recent history with each of them, the notes and files that matter, and a few talking points — so you’re never reconstructing context in the first five minutes.
